Duties and Responsibilities
As a Programme and Administration Support Officer, you will provide essential administrative and operational assistance to ensure efficient delivery of activities. Your responsibilities will include:
Programme Support
- Assist in planning and implementing programme activities for defence-related operations in East Africa
- Support reporting processes, including monthly and quarterly updates
- Ensure records and systems are kept up to date and accurate
Travel Coordination and Administration
- Plan and organize travel arrangements such as flights, accommodation, and transport for staff and official visitors
- Prepare detailed travel itineraries and manage any required changes
- Handle visa and entry permit applications by coordinating with relevant authorities
- Stay informed on UK visa processes and updates that may affect travel arrangements
- Ensure compliance with travel policies, approvals, and financial controls
- Maintain accurate travel records and documentation
- Build and manage relationships with travel service providers to ensure cost-effective solutions
- Track travel budgets and prepare reports on expenses and compliance
Event Support
- Coordinate logistics for meetings, conferences, and defence-related events
- Assist in organizing key regional events and ensure smooth execution
General Administrative Support
- Provide daily administrative assistance such as scheduling meetings, managing calendars, and maintaining files
- Support document management and archiving processes
- Assist with basic procurement tasks such as ordering office supplies
- Coordinate with IT and facilities teams to ensure staff have the required equipment and workspace
- Help onboard new staff and visitors by preparing necessary materials
Communications
- Work with communications teams to coordinate defence-related media content and materials
- Support internal and external communication activities where required
