Duties and Responsibilities
The Administrative Officer will play a key role in ensuring smooth site operations and effective coordination with internal and external stakeholders. Main duties include:
- Working closely with the Site Coordinator, Study Coordinator, administrators, and the management team to support operational planning and implementation
- Contributing operational data to support action planning and improve efficiency at the study site
- Reviewing and improving workflows, space usage, staff allocation, equipment layout, productivity, and service quality
- Identifying operational trends, resolving challenges, and supporting internal audits
- Ensuring a safe and healthy working environment by following institutional policies, procedures, and legal requirements
- Acting as the main contact person for operational issues related to research projects, including equipment quality, service delivery, incidents, and on-site accidents
- Communicating operational and client-related concerns to the operations team and supporting continuous service improvement
- Managing study site operational systems such as product handling, storage, equipment utilization, and supply management
- Coordinating procurement activities by following up on requisitions with the institutional procurement department
- Supporting quotation review, analysis, and approval processes in collaboration with procurement committees
- Monitoring vendors to ensure timely delivery of supplies and verifying Delivery Notes and Goods Received Notes
- Overseeing inventory and asset management, including inventory analysis, shipping, asset utilization, and record accuracy
- Updating and maintaining the asset register, conducting quarterly asset verification, and ensuring proper asset labeling
- Supporting cost control measures, including reduction of sub-rental expenses and effective use of available assets

Requirements / Qualifications

- Bachelor’s degree in Business Administration or an equivalent qualification (mandatory)

- Proven ability to manage administrative systems, files, records, and office procedures (mandatory)

Salary & Benefits (Estimated Range)
- Estimated monthly salary: KES 80,000 – KES 120,000, based on job grade KMR 06
- One-year contract, renewable subject to availability of funds
- Three-month probation period at the start of the contract
- Benefits and allowances will be in line with institutional policies
